VegMichigan Event Coordinator   Job Information Title:                Event Coordinator Hours:             Full Time, some evenings and weekend hours required Reports to:      President Salary Range:  $24,000/year - $35,000/year, depending on experience Benefits:         Flexible hours, work from home most days, paid holidays, personal, and vacation, healthcare stipend available   Job Description The Event Coordinator will manage all small and large events and oversee all aspects of event planning and management. The position requires working with the VegMichigan Board of Directors, staff, and volunteers to create and execute effective events and outreach activities throughout Michigan, which are focused on promoting the benefits of a vegan lifestyle. A successful candidate will be extremely organized and be able to manage the logistics of multiple events simultaneously. Responsibilities for the Event Coordinator include; scouting and booking locations, working out details with venue management, securing sponsorships, signing up vendors, signing up speakers/entertainment, coordinating volunteers, and cleanup.  The Event Coordinator is responsible for organizing memorable events and outreach activities that present veganism in a positive light.   Primary Duties Create and host events from conception through completion. Plan and oversee VegMichigan’s signature event, VegFest, and other large annual events including SummerFest and the annual Fundraiser. Work to create additional large events outside the Metro Detroit area and at selected colleges and universities aimed at promoting the benefits of a vegan diet. Oversee smaller events and outreach such as library presentations, dinner clubs, cooking demos, food tastings, tablings, leafleting, and others. Create a mix of innovative events and outreach activities with a focus on fun and positive interaction. Continually strive to find the most effective events and forms of outreach that will move individuals toward a vegan diet. Work with the Board, staff, and volunteers to coordinate all aspects of the event planning process. Coordinate with marketing and PR to create effective advertisements. Organize and manage sponsorship database and solicit event sponsors. Organize and manage vendor database and solicit new and attention-grabbing vendors. Manage and oversee events on the day of, including problem-solving, directing event set-up, communicating with staff, and organizing vendors, and managing take-down. Work with Board to ensure compliance with insurance, legal, health and safety obligations. Recruit, build up and oversee a core group of volunteers that will help you successfully accomplish the objective of hosting VegMichigan events and outreach activities throughout Michigan. Conduct pre- and post-event evaluations and report outcomes by filling out Project Proposal Form and Event Summary Form to help determine effectiveness. Stay within budget for large and small events and strive to make as many events cash positive or cost neutral. Communicate with President on a regular basis and occasionally meet with the Board to discuss major event and outreach ideas. Maintain a detailed calendar of annual events, adding new events and eliminating unpopular events. Specify staff and volunteer requirements and coordinate their activities. Possess the ability to delegate event planning tasks to other staff members and volunteers where necessary. Coordinate event entertainment, including music, performers, and guest speakers.   Position Requirements: Bachelor’s Degree in Communications, Hospitality Management, Public Relations or related field preferred. A certificate, associate degree, or related experience will also be considered. Demonstrate thorough knowledge of the health, ethical, and environmental benefits of a plant-based lifestyle and ability to articulate this to others in an accurate and encouraging way. Experience with event planning and execution. Reliable transportation and an ability and willingness to travel on a routine basis. Proven writing, verbal, and public speaking skills. Must have a computer and be proficient in general computer skills, including Word, Excel, Gmail, and social media. Must have home office with computer, internet, and printer. Demonstrate excellent time management and organizational skills in order to work on numerous projects simultaneously and meet required deadlines. Ability to work independently.
